IT Helpdesk Job Description

As the first point of contact for our client's internal staff, you will play a critical role in maintaining operational efficiency by resolving technical issues swiftly and professionally. This IT Helpdesk position based in Edinburgh EH3 involves providing 1st and 2nd line support across a range of hardware and software systems. The client is a well-established organisation with a modern, collaborative work environment, seeking a tech-savvy individual who thrives in a fast-paced setting.

Registering with Phone Direct for this role gives you access to more than just a single job. We are a gateway to the Edinburgh job market, offering a variety of positions from recruitment jobs to specialised technical support. Our consultants provide personalised guidance, ensuring your skills are matched with the right employer, whether you're looking for a Machine Operator role in manufacturing, an Admin Assistant position in a corporate office, or a School Receptionist job. We understand the local landscape and are committed to your career progression.

Key Responsibilities & Duties

In this dynamic IT Helpdesk role, your primary duties will include, but are not limited to:

  • Providing 1st & 2nd Line Support: Acting as the initial contact for all IT-related queries via phone, email, and ticketing system. Diagnosing and resolving hardware issues (desktops, laptops, printers), software problems (Windows, MS Office 365, business applications), and basic network connectivity faults in a timely manner to minimise user downtime.
  • User Account Management: Efficiently creating, modifying, and disabling user accounts within Active Directory and other SaaS platforms. Managing access permissions, resetting passwords, and ensuring compliance with security policies. This requires meticulous attention to detail and a strong understanding of identity and access management principles.
  • Ticket Logging & Lifecycle Management: Accurately logging all incidents and service requests in the IT Service Management (ITSM) tool. Prioritising tickets based on urgency and impact, escalating complex issues to 3rd line support or external vendors when necessary, and maintaining clear, concise communication with users throughout the resolution process.
  • Knowledge Base Contribution & Documentation: Documenting recurring issues and their solutions to build a robust internal knowledge base. Creating user-friendly guides and FAQs to empower staff to resolve simple problems independently, thereby improving overall IT literacy and reducing the volume of repetitive tickets.
  • Onboarding & Offboarding Support: Setting up IT equipment for new starters, including imaging laptops, configuring phones, and providing introductory IT inductions. Conversely, securely retrieving equipment and disabling access for leavers, ensuring all company data is protected and assets are accounted for.
  • Proactive System Monitoring & Maintenance: Assisting with routine checks of key systems, performing software updates and patches, and monitoring backup alerts. Identifying potential problems before they cause major outages and contributing to the overall health and security of the IT infrastructure.

Essential Skills & Requirements

To be successful in this Edinburgh-based IT Helpdesk position, you will need to demonstrate the following:

  • Proven IT Support Experience: A minimum of 12-18 months of hands-on experience in a similar IT Helpdesk or technical support role, preferably within a corporate environment. You must be comfortable supporting a diverse user base with varying levels of technical ability.
  • Core Technical Proficiency: Strong practical knowledge of Windows 10/11, Microsoft Office 365 administration (including Outlook, Teams, SharePoint), and Active Directory user management. A solid understanding of TCP/IP networking fundamentals, DNS, DHCP, and VPN connectivity is highly desirable.
  • Exceptional Communication Skills: The ability to explain complex technical concepts in simple, non-technical language to frustrated users. This role requires patience, empathy, and superb telephone etiquette—skills we also value highly for our call answering service jobs.
  • Problem-Solving Mindset: A logical, analytical approach to troubleshooting. You should be able to methodically break down a problem, research solutions using available resources, and think creatively to resolve issues that may not have an immediate, obvious answer.
  • Relevant Certification (Desirable): While not always mandatory, certifications such as CompTIA A+, Microsoft Fundamentals (MS-900, MD-100), or ITIL Foundation v4 will significantly strengthen your application and demonstrate a committed, professional approach to your IT career.
