GP Receptionist Job Description: Chelmsford CM1

Phone Direct, a leading recruitment agency specialising in connecting skilled personnel with vital roles across the UK, is seeking an experienced and personable GP Receptionist for a key position within a busy, respected medical practice in Chelmsford CM1. This role sits at the very heart of patient care, requiring the skills of a top-tier Customer Service Advisor combined with the discretion and empathy needed in a medical setting.

You will be the first point of contact for patients, managing appointments, handling sensitive information, and ensuring the smooth daily operation of the reception. This is more than just an administrative role; it's about providing reassurance, clarity, and support to people when they need it most. If you have proven experience in a receptionist or customer-facing role and are looking for a rewarding position with an immediate start, we want to hear from you. Key Responsibilities & Daily Duties

  • 1 Front Desk & Patient Liaison: Greeting patients, checking them in for appointments, and managing the patient flow in the waiting area. Acting as a calm and helpful point of contact for all patient enquiries, both in person and via telephone.
  • 2 Appointment Scheduling & System Management: Efficiently booking, cancelling, and rescheduling patient appointments using the practice's clinical software (e.g., SystmOne, EMIS). Managing doctor and nurse diaries to optimise clinic time and minimise wasted slots.
  • 3 Telephone Handling & Call Management: Answering a high volume of incoming calls promptly and professionally. Directing calls appropriately, taking accurate messages, and dealing with urgent requests following practice protocols. This mirrors the high standards of our professional Call Answering Service in London.
  • 4 Administrative & Data Tasks: Processing patient registrations and deductions. Updating and verifying patient demographic details with strict accuracy. Handling repeat prescription requests in line with practice policy and preparing confidential documents for clinics.
  • 5 Team Support & Compliance: Working collaboratively with clinical and administrative colleagues. Maintaining strict confidentiality and adhering to all GDPR, CQC, and practice policies regarding data protection and patient safety at all times.

Essential Skills & Person Specification

To be successful in this GP Receptionist role in Chelmsford, you will need a blend of technical competency and exceptional interpersonal skills. We are looking for a candidate who embodies the qualities of both a meticulous administrator and a compassionate Customer Service Representative.

Must-Have Experience

  • • Proven experience in a busy receptionist, administrator, or Telemarketer/Customer Service role.
  • • Experience with NHS GP practice software (SystmOne, EMIS, Vision) is highly advantageous.
  • • Excellent IT literacy, including MS Office (Word, Excel, Outlook).
  • • A clear understanding of the importance of confidentiality in a medical setting.

Personal Attributes

  • • Outstanding communication skills, with a clear, calm, and polite telephone manner.
  • • Empathy, patience, and the ability to deal with people who may be unwell or distressed.
  • • Strong organisational skills and the ability to prioritise a varied workload under pressure.
  • • A proactive, team-oriented attitude and a high degree of professional integrity.

This role requires an immediate start. Our process is designed for speed. Once you apply, a consultant will contact you typically within 24 hours for a pre-screen. Following a successful interview with the practice, we can expedite necessary compliance checks (right-to-work, references). For candidates with all documentation ready, a start within a week is often achievable. The urgency is due to the critical need for reliable staff in Chelmsford's healthcare sector.

The initial placement is on a temporary basis, which offers great flexibility. However, many of our temporary GP Receptionist assignments convert to permanent contracts for candidates who are a strong fit for the practice. The"temp-to-perm" route allows both you and the employer to ensure it's the right long-term match. We have a strong track record of facilitating these conversions across Essex and the UK.

Beyond standard administrative skill, a top GP Receptionist requires exceptional emotional intelligence. You are dealing with patients who may be anxious, in pain, or vulnerable. Discretion and confidentiality are paramount. The ability to triage calls effectively, understanding when a request is clinically urgent, is a key difference from commercial Telemarketer or standard office reception work. It's a role that blends compassion with rigorous organisation, similar to the high-stakes communication handled by our Virtual Answering Services for Small Businesses but within a clinical framework.
